Administrative Assistant (Leadership Team Support)
Position Summary:
Oak Grove Mine seeks a full time Administrative Assistant to provide high-level administrative support to multiple leadership members in a fast-paced mining operations environment. This position ensures the smooth functioning of daily operations through efficient communication, scheduling, and coordination. The ideal candidate is highly organized, able to manage multiple priorities, and possesses strong communication and problem-solving skills tailored to the needs of a dynamic, safety-sensitive environment like mining. This position will be on site.
Primary Responsibilities:
- Coordinate and manage calendars, meetings, and appointments for multiple leadership team members.
- Prepare and organize agendas, presentations, and reports for executive meetings.
- Handle confidential and time-sensitive information with discretion.
- Communicate effectively with internal and external stakeholders, including vendors, contractors, and mine site personnel.
- Organize travel arrangements, accommodations, and itineraries for leadership members.
- Assist in preparing operational reports, tracking key performance indicators (KPIs), and managing document control.
- Support various departments in administrative tasks such as filing, record-keeping, and correspondence.
- Monitor project timelines, deadlines, and follow-up on actionable items for leadership.
- Act as a liaison between leadership members and other mine staff to ensure alignment of communication and priorities.
- Maintain office supplies and ensure the office operates efficiently in a high-demand environment.
- Handle special projects and assignments as directed by leadership.
Job Requirements:
- Proven experience as an Administrative Assistant, preferably in mining, construction, or a fast-paced operational environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software.
- Exceptional organizational, time management, and multitasking skills.
- Strong written and verbal communication abilities.
- Discretion and confidentiality in handling sensitive information.
- High attention to detail and accuracy.
- Ability to work independently and as part of a team, taking initiative to address challenges.
- Experience coordinating executive-level meetings and travel. May also require some travel from time-to-time.
- High school diploma or GED required; Associate’s or Bachelor’s degree in Business Administration or related field preferred. Certification in office management or administration is a plus.
Physical Demands:
- Ability to sit for extended periods while performing desk work.
- Occasional lifting of office supplies and materials up to 25 lbs.
- Ability to move around the office or site, attend meetings, and access filing cabinets and storage areas.
- Potentially exposed to a mining environment, including dust, noise, and variable weather conditions during site visits.
Knowledge, Skills, and Abilities:
Knowledge:
- Understanding of the mining industry or industrial operations preferred.
- Knowledge of standard office administrative practices and procedures.
Skills:
- Advanced skills in calendar management, document preparation, and meeting coordination.
- Strong interpersonal skills for interacting with leadership and team members across various levels.
Abilities:
- Ability to manage multiple leadership members with diverse needs and prioritize tasks effectively.
- Capacity to adapt to changing demands and work in a high-pressure environment.
- Problem-solving capabilities with a proactive and resourceful approach.
Benefits and Compensation:
This full-time position would be eligible for all full-time eligible benefits, including, but not limited to, health, dental, vision, paid time off, and retirement plan.
Compensation will be commensurate upon experience level and will be in the initial pay range of $40K and $45K per year.
