What We’re Looking For:
• High school diploma (Associate degree preferred) and 2+ years of previous administrative experience.
• Must have above proficiency in Microsoft Office Suite; especially with word, excel, teams, and outlook use and mgmt. Experience with accounting software is also a bonus.
• Excellent communication, organizational, and customer service skills.
• Ability to handle confidential information with care and professionalism.

Position Summary
The Administrative Assistant supports the smooth daily operations of the accounting firm by performing a variety of administrative, clerical, and customer service tasks. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently in a professional environment.
Primary Responsibilities
- Answer and direct incoming calls, emails, and other correspondence.
- Greet clients and visitors, ensuring a professional and welcoming environment.
- Schedule appointments and manage calendars for team members.
- Maintain and organize confidential client files, both physical and digital, in accordance with firm policies and procedures.
- Assist with preparing, proofreading, and formatting financial reports, client letters, and other documents.
- Process incoming and outgoing mail, including handling courier services.
- Manage office supplies, placing orders, and ensuring inventory is maintained.
- Perform data entry, such as client information and project updates in firm systems.
- Provide administrative support during tax season, including client intake and filing assistance.
- Coordinate meetings and prepare meeting materials, such as agendas and presentations.
- Assist in billing and invoicing clients and tracking payments as needed.
- Other duties as assigned to support team efficiency and firm success.
Job Requirements
- High school diploma or equivalent; associate degree or higher preferred.
- Minimum of 2 years of administrative experience, preferably in a professional office setting.
- Above Proficiency in Microsoft Office Suite (Word, Excel, Teams, Outlook, PowerPoint).
- Familiarity with accounting or tax software (e.g., QuickBooks) is a plus.
- Excellent written and verbal communication skills.
- Strong attention to detail and ability to manage confidential information.
- Exceptional time management and organizational skills.
- Customer service-oriented with a positive attitude.
